This Privacy Policy explains how AccuWriter Inc. ("AccuWriter," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when individuals visit our websites, create or use an account, use our software and applications, interact with support, or otherwise use our products and services (collectively, the "Services").
AccuWriter serves property inspectors and inspection businesses. When a business customer enters information about its clients, properties, occupants, agents, report recipients, or other third parties, AccuWriter generally processes that information on behalf of the business customer to provide the Services. The business customer determines why that information is collected and how it is used, subject to applicable law and its agreement with AccuWriter.
If your information appears in an AccuWriter report or customer account, requests concerning that information may need to be directed to the inspector or inspection company that collected it. AccuWriter will assist customers with legally required requests as appropriate.
Account information: name, business name, username, email, telephone number, professional/company information, account identifiers, and authentication information.
Billing information: subscription plan, billing status, transaction records, billing address, and limited payment-related information. Payment card details may be processed directly by payment processors.
Customer Content and inspection data: property addresses, client and agent contact information, observations, photographs, videos, narratives, signatures, agreements, comments, templates, documents, and related records submitted through the Services.
Device and usage information: IP address, device and browser information, operating system, application version, logs, feature interactions, timestamps, diagnostic and crash information, workflow and navigation activity, and similar telemetry.
Communications and integrations: support requests, feedback, and information received from or transmitted to services you choose to connect with AccuWriter.
AccuWriter may use AI and machine-learning services to process text, images, report content, or other information when a user invokes an AI-assisted feature. Third-party AI providers may process information as reasonably necessary to provide that requested functionality, subject to applicable privacy, contractual, and security controls.
AccuWriter does not use Customer Content — including inspection reports, photographs, client information, property information, or inspection narratives — to train general-purpose AI models.
AccuWriter may use AI and automated analytics to analyze how users interact with the software in order to make AccuWriter better. This may include feature usage, navigation and workflow patterns, sequence of actions, performance, errors, time spent performing tasks, configuration choices, and similar usage telemetry. AccuWriter may use aggregated or de-identified usage information for product development, feature improvement, usability, and performance optimization.
We may disclose information to service providers that help operate AccuWriter, including cloud hosting, storage, security, payment processing, AI infrastructure, email or communications, customer support, analytics, error monitoring, and related operational services. We may also disclose information to professional advisers and where required by law, necessary to protect rights or security, or in connection with a merger, financing, acquisition, reorganization, or sale of the business.
AccuWriter does not disclose Customer Content merely to allow unrelated third parties to market products to inspection clients.
AccuWriter does not sell personal information for monetary consideration and does not use or share personal information from the AccuWriter application for cross-context behavioral advertising. AccuWriter does not use behavioral advertising trackers within the application.
AccuWriter may use necessary cookies and analytics technologies to operate, secure, measure, and improve the Services.
AccuWriter may use cookies, local storage, and similar technologies necessary for authentication, session management, security, user preferences, and operation of the Services. AccuWriter may also use analytics technologies to understand performance, feature usage, and product interaction.
AccuWriter does not use behavioral advertising or cross-context advertising tracking within the application. If our practices materially change, this Policy and any legally required privacy controls will be updated.
While an inspector or inspection company maintains an active account, AccuWriter retains Customer Content as reasonably necessary to provide the Services. Following cancellation or termination, working account content may remain recoverable for up to 90 days, after which it may be scheduled for deletion from active systems, subject to backup rotation, legal obligations, security requirements, and legitimate operational needs.
Final inspection reports already delivered to inspection clients may remain available to those clients indefinitely, even if the originating inspector or inspection company later stops subscribing to AccuWriter, unless an authorized inspector permanently deletes the report or retention is otherwise prohibited or impracticable.
An authorized inspector may permanently delete a completed or delivered inspection report. When a report is permanently deleted, AccuWriter-hosted access to that report ends, including access previously provided to an inspection client.
AccuWriter may retain a minimal audit record documenting the deletion. That record may include a report or inspection identifier, account or organization identifier, identity of the authorized user who initiated deletion, date and time, and deletion status. The audit record is retained for security, compliance, fraud prevention, dispute prevention, and system-integrity purposes and does not retain the substantive deleted report, report photographs, narratives, or other report content merely for the audit trail.
AccuWriter uses administrative, technical, and organizational safeguards designed to protect information from unauthorized access, destruction, loss, alteration, or disclosure. Safeguards may include access controls, authentication, encryption in transit, secure cloud infrastructure, logging, backups, vulnerability management, and restricted access. No system can guarantee absolute security.
AccuWriter is building and maintaining capabilities that allow applicable users to access, correct, export, and request deletion of personal information, subject to legal exceptions, legitimate retention requirements, security needs, and AccuWriter's role as a service provider to inspection businesses.
Depending on where you live and whether a particular privacy law applies to AccuWriter or the relevant processing, you may have additional rights concerning access, correction, deletion, portability, sale or sharing, targeted advertising, or certain automated processing. AccuWriter will honor legally applicable rights and will not unlawfully discriminate against individuals for exercising them.
AccuWriter does not represent that every comprehensive state privacy statute applies to every aspect of its operations. Applicability depends on statutory thresholds, the nature of the processing, and other legal requirements.
California residents may have rights under California privacy law where those laws apply to AccuWriter's processing. Applicable requests may include requests to know or access, correct, delete, or obtain information concerning processing and disclosures. Because AccuWriter does not sell personal information or use/share application data for cross-context behavioral advertising, AccuWriter does not presently use those practices as a business model.
If AccuWriter becomes subject to additional California-specific notice, opt-out, preference-signal, risk-assessment, or disclosure requirements, AccuWriter will implement applicable controls and update this Policy as required.
The Services are intended for business and professional users and are not directed to children under 13. AccuWriter does not knowingly collect personal information directly from children under 13 through account registration. If prohibited information is discovered, AccuWriter will take appropriate steps to delete it.
The Services may contain links to or integrations with third-party services. Their privacy practices are governed by their own policies. AccuWriter is not responsible for third-party practices outside its control.
If AccuWriter is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, personal information may be transferred as part of that transaction, subject to applicable law and appropriate confidentiality protections.
AccuWriter may update this Privacy Policy as the Services, technology, vendors, or legal obligations change. The "Last Updated" date identifies the current version. Where required, AccuWriter will provide additional notice or obtain consent before materially changing how previously collected personal information is used.
Privacy requests should identify the nature of the request and provide sufficient information for AccuWriter to verify identity and locate the relevant account or information. Where AccuWriter processes information on behalf of an inspection company, AccuWriter may direct the request to that company or coordinate with it as appropriate.
